At the University of Otago Wellington campus, we teach medicine, radiation therapy, physiotherapy, and a wide range of postgraduate qualifications and papers, while undertaking a diverse portfolio of health-based research.

About the role/Te mahi

Are you an exceptional administrator who wants to play a vital role in the education of New Zealand's future health professionals and support some of New Zealand's leading health researchers? If so, this could be the opportunity for you.

In these Administrator roles, you will provide proactive administrative, teaching, and timetabling support across a range of undergraduate and postgraduate programmes. You will become a trusted point of contact for students, academic staff, researchers, and visitors while contributing to the successful delivery of teaching and research activities across the Wellington campus.

Key responsibilities may include:

•    Providing high-quality administrative support, including document preparation, minute taking, records management, and correspondence.
•    Coordinating student rosters across academic and clinical learning environments.
•    Supporting teaching activities, timetabling, clinical placements, and programme administration for undergraduate and postgraduate programmes.
•    Coordinating student assessments and examination-related processes.
•    Maintaining databases and records within University systems, producing reports and extracting relevant data as required.
•    Providing administrative coordination and support to academic staff, researchers, and programme leaders.

Alongside excellent administrative and organisational abilities, a strong customer service focus and the ability to build positive working relationships are critical to success in this role.

We are looking for candidates who have:

•    Proven experience in a busy administrative or coordination role.
•    A passion for delivering exceptional service and support to customers and stakeholders.
•    Proficiency in the Microsoft Office suite and confidence working with a range of systems and databases.
•    Excellent communication and interpersonal skills, with the ability to work collaboratively as part of a team.
•    Strong organisational skills, attention to detail, and a willingness to learn.

This is a full-time (37.5 hours per week) position, based in Wellington.

The salary range for an Administrator is Level 4 ($63,508–$73,640). Candidates with Māori competency may also be considered for the Kaiwhakahaere Tari (Level 5) pathway, and candidates with Pacific cultural competency may be considered for the Administrator - Pacific Peoples (Level 5) pathway. Both Level 5 roles support the University’s Māori and Pacific Strategic Frameworks by applying Māori and Pacific values and perspectives to administrative practice and supporting student and staff success. Salary range for Level 5 roles is $69,931–$80,285.
