About the role

Higgins Bay of Plenty is looking for an experienced Contract Administrator to join our team. Based at our Rotorua depot, you'll play a key role in keeping our operations running smoothly. This is a varied position where no two days look the same.

Working alongside operational teams, finance, health and safety, training coordinators, suppliers and clients, you'll help keep information flowing, processes on track, and administration delivered accurately and on time. We're looking for someone who enjoys staying organised, solving problems and being the person others can rely on to get things done.

Key Responsibilities

Coordinate day-to-day contract and operational administration activities.
Answer and manage the incident response phone during office hours, coordinating crew dispatch and maintaining accurate incident call-out records
Manage job logging, dispatch communications, and incident response rosters
Process timesheets, purchase orders, invoices, and financial administration tasks
Maintain accurate records, documentation, and filing systems
Support training coordination, onboarding, inductions, and employee records Liaise with clients, suppliers, subcontractors, and internal teams to ensure timely communication and service delivery

What You'll Bring to the Role

3+ years' administration experience, ideally with exposure to finance, accounts, or contract support
Experience processing timesheets, invoices and purchase orders
Ability to prioritise multiple tasks and meet deadlines
Confident communicator who builds positive working relationships
Strong Microsoft Office and systems skills
High attention to detail and a proactive approach to problem solving
