Whāraurau works to improve the mental health and wellbeing of infants, children, adolescents and youth, and those who care for them, by providing workforce development within the mental health and addiction sector in Aotearoa. Through UniServices, a wholly owned social impact company of Waipapa Taumata Rau, University of Auckland, we are contracted by Health New Zealand | Te Whatu Ora and the Ministry of Education to grow the capacity and capability of the infant, child, adolescent, youth and whānau mental health and addictions workforces. We offer a range of e‑Learning courses, training, webinars and service supports that are government funded and free to access.

The opportunity
Are you confident, tech savvy and agile, who has a mature attitude, organised and calm, with an eye for detail? Do you have digital tool skills or the ability to learn i.e. CRM, event management, PeopleSoft finance or similar? Do you have experience in coordinating in-person events, webinars and livestreaming? We have a great opportunity to join our team in our Auckland Office.
Come and join our diverse and supportive team at Whāraurau in our Project Support Coordinator role! You will be part of a national team, to coordinate online and in-person events nationally, provide admin and project financial support as well as internal and external support across digital systems and platforms. This is a great opportunity to work for a positive and passionate organisation, and gain exposure to projects of national significance that genuinely make a difference. You will have good experience and be keen to continue to learn.
Key responsibilities:
- Ensure all events are communicated effectively with all stakeholders including presenters, panelists and professional mental health workforce.
- Ensure all venues, online platforms and catering are booked on time and within budget.
- Coordinate events and troubleshoot IT issues, facilitate breakout rooms and host webinars.
- Set up and support all events including pre and post activities.
- Ensure venues and online platforms meet the requirements for attendees.
- Arrange travel requirements for external stakeholders.
- Record and film events and obtain media consents.
- Edit and upload filmed events to social mediums.
- Process invoices for approval and payment.
- Internal and external customer support
- Continuous improvement identification and coordination
Qualifications
Your skills and experience:
It is essential for you to hold:
- Experience and ability to plan, coordinate, scope, communicate and support events.
- Ability to problem solve issues around set up, on the day support and pre/post event coordination.
- Proficiency with the Microsoft Office suite.
- Experience and ability to use Premier Pro, Vimeo, InDesign and Canva to edit videos preferred.
- Excellent interpersonal and communication skills to establish and develop professional relationships.
- Strong knowledge of office procedures and administration to undertake tasks related to assigned projects.
- High attention to detail.
Ideally you will also promote a positive understanding of child and adolescent mental health and wellbeing and ensure principles of Te Tiriti o Waitangi are supported and implemented in delivery of service. Confidence and competency in Te Reo Māori me ōnā tikanga and Māori environments would be an advantage.
