The successful candidate will be an integral part of the TELUS Health team, providing sales, customer service, accounting and payroll administrative support to the New Zealand division of TELUS Health.
What You’ll Do
Sales and Customer Administration:
- Weekly updates for CSM team on upsell activity versus target.
- Provision of data for sales and CSM teams
- Support sales team with customer invoicing and reporting requests and requirements
- Support CSM team with all invoicing queries
- Liaising with the Wellbeing Support Team as issues are raised regarding all TELUS Health Business System for Counsellors/Consultant (THSC) invoices into TELUS Health Business Systems (THBS)
Accounting and Payroll administration
- Processing the payments of NZ-based Counsellors invoices every Tuesday through Computer accounting package (Q5) and into online banking facility for payment
- Processing invoices from non-THSC Counsellor/Consultants when received and setting up for payment on the following Tuesday
- Paying Australian-based Counsellor/Consultants accurately monthly on or about the 25th of each month – manual processing through THBS into Q5 and manual payment through Westpac Australia online banking
- Reconciling Bank statements (weekly)
- Reconciling Visa statements (monthly)
- Administering chargebacks and expenses
- Paying general suppliers accurately on 20th of each month through Q5 and online banking
- Processing and paying staff wages accurately on or by 23rd of each month, using IMS Payroll
- Timely submission of all required returns to the IRD
- Upgrading payroll software as new releases received
- Keeping up to date with relevant legislative changes
- Processing PAYE payments on or before 20th of the month
- Keeping all staff leave information up to date
To ensure all administrative aspects of the role are effectively managed, including:
- Providing cover for other staff to maintain the high level of service to customers
- Co-ordinating with the other office staff to ensure appropriate management of and adherence to all office procedures and processes
- Co-ordinating with the other office staff to always ensure adequate office support available
- Attending meeting and informal/formal functions etc, as required
- Recommending innovative ways to make the office systems and processes more seamless, efficient, and effective
Additional duties:
- All contact with Counsellor/Consultants, customers, debtors, creditors, and suppliers is in accordance with best practice and in line with TELUS Health standards
- Completeness, integrity and timeliness of financial data capture and financial systems
- Accurate and timely reports are prepared and presented to the GM
- All accounting and finance-related issues are addressed within 2 days
- All invoices are processed within three days of the completion of the work and receipt of provider invoices
- Invoices are prepared and processed by their respective deadlines
- Relationships with customers, clients and counsellors are robust and effectively managed
- Compliance with all relevant business, industry specific legislative/regulatory requirements and company financial and management controls and policies.
- Helpful assistance within the office when team is overloaded, or additional support is required. This will include having a good understanding of all key processes and familiarity with THSC and THBS.

- Very good organisational skills - methodical and systematic; able to organise workload and prioritise tasks
- Excellent communication skills - both written and verbal
- Customer focused; good at following up on issues; highly professional manner in dealing with customers, clients, Counsellors/Consultants etc
- Sound problem-solving skills. Sorts through complex issues and conducts comparative analysis of multiple solutions.
- Expertise in using Excel and accounting and financial software to record or analyse financial information.
