About the role - Mō te tūranga

As an Executive Assistant, you will be a trusted advisor, providing high-quality and timely support to ensure the efficient management of their schedules, communications, and administrative tasks.

Key responsibilities include:

  • Diary & Inbox Management: Efficiently manage complex diaries and email inboxes, ensuring effective time management and communication.
  • Meeting & Travel Coordination: Organize meetings, prepare agendas, and manage domestic and international travel arrangements.
  • Document Preparation: Prepare letters, reports, presentations, and handle confidential documentation.
  • Event Management: Coordinate client and internal events, including travel, accommodation, and catering.
  • Stakeholder Liaison: Act as a liaison with internal and external stakeholders, including executives and customers.
  • Financial Administration: Review discretionary expenditure and ensure compliance with policies.
  • Support to Business Unit Leadership Team: Provide support to the wider Business Unit Leadership teams as needed.
  • Confidentiality: Maintain a high level of confidentiality and discretion at all times.

We are looking for well organised individual with strong experience with efficient diary and email inbox management, travel coordination, documentation, and financial administration.

Additionally, you will have:

  • Minimum 5 years’ experience executive support with associated secretarial skills.
  • Relevant tertiary qualification in secretarial/administration or business management
  • Functional and technical knowledge to do the job.
  • Good communication with strong interpersonal skills
  • A good business acumen and the ability to be discreet with information.
  • The ability to establish and maintain effective relationships with customers.
